What is an accessible document and accessible graphic design?

An accessible document must be visually clear and work with assistive technology such as text-to-speech or screen readers.

The Web Content Accessibility Guidelines (WCAG) are a set of minimum standards for a document to be classed as accessible. PDFs or other digital documents, need to be correctly formatted to meet the guidelines, this ensures your online content can be accessed and understood equally, by anyone who visits your site.

Accessible graphic design incorporates all these into your document and is the best way to ensure your documents meet all the guidelines.

The Web Content Accessibility Guidelines (WCAG) are an internationally recognised set of recommendations to make digital services and websites accessible to everyone, including users with impairments to their vision, hearing, mobility or thinking and understanding. Accessible PDFs need to meet WCAG standards in two respects. The ease with which people can read and understand a document visually (considerations such as layout, colour contrast, font choice and size) and how well they can be used with assistive technology, such as screen readers and magnifiers. Most documents can be made more accessible for assistive technology, such as screen-readers, with minimal design changes – it’s all hidden from view. There may be instances where the visual content of a document doesn’t work well for accessibility and alternative choices have to be made – we’ll let you know why and possible solutions, to help you make those decisions.

To a limited extent. Adobe Acrobat Pro and MS Word, both include an accessibility checker, and there are sites online. However, these will not give you all the results you need to confirm you are meeting WCAG standards. It’s necessary to check the document structure to ensure everything is correctly formatted, and fix some problems manually. Layout and visual content issues will not be covered.

Every step you take towards a more accessible document is important to your readers. If your design can’t meet the WCAG standards 100%, it’s still worth doing everything you can do, to benefit users of your site. We offer a document accessibility health-check to show how well your document meets the guidelines and what could be improved.

Most document formats, including InDesign, Word, Powerpoint, and existing PDF files. We can make PDF forms accessible, but recommend HTML in preference, as their use (regardless of accessibility) is limited on phones and other devices.

Cost varies on the size and complexity of your document, and also on how it’s been created and formatted. Send us your files for an estimate and advice. We aim to get estimates back next-day, and turn-around for smaller documents (up to 24 pages) within five working days, dependent on complexity. Larger projects by agreement.
